Knowledge management
Your CRM as your company's memory
How your ChatGPT or Claude saves in AgentticCRM what it researches, summarizes and drafts, so your team finds it tomorrow on the record, in the project or in Documents.
Every day your team learns things that are worth money: what matters to a client, what was agreed in a meeting, how a problem that will come back was solved. That knowledge almost always ends up in the wrong place: in a conversation with an AI that only one person saw, in a personal document or in the head of whoever was there.
With your ChatGPT or Claude connected to AgentticCRM, that changes. What your AI researches, summarizes or drafts can be saved where your team will look for it tomorrow: on the client's record, in the project or in Documents. And when someone asks how something is done, your AI answers with your own company's documents.
Three places where your AI saves what it knows
The client's record. It is the place for everything your team needs to know before talking to someone. Your AI leaves notes there with what it researched or what was discussed, and dated reminders for the next follow-up.
“Save a note on Nordia's record that they prefer morning meetings and that their budget gets approved in March.”
The project. Minutes, summaries, agreements and the client's files go into the project, next to its phases and tasks. So do the technical details, such as the domain or the hosting, so nobody has to ask for them again.
“Save the summary of today's meeting in the Grupo Almendra project and leave one task for each agreement.”
Documents. It is your company's document space, with folders and permissions. Your AI creates guides, procedures or templates there, with headings and lists, and brings in the ones you already have in Markdown.
“Create a guide in Documents on how we prepare a proposal, based on the last three we won.”
Your knowledge base, to answer with your own rules
The knowledge base brings together the manuals, policies and procedures your team uploads to AgentticCRM. When you ask your AI something, it searches there and answers with those documents, telling you which one each part came from.
“According to our knowledge base, how do we bill monthly support?”
That does two things. First, the answers come from your rules and your prices, not from generic ones. Second, someone who just joined asks what they would ask a colleague with years in the company, and gets the same answer.
One important detail: the knowledge base answers from the files added to it. What you save in Documents or in a project stays where you saved it. If it should also serve as a source for answers, upload it to the knowledge base too.
What your AI researches online, saved in your CRM
This is the superpower. Your ChatGPT or Claude knows how to search the web, read a PDF, summarize a call or compare proposals. Connected to your CRM, it also knows where to save the result.
An example, all in one conversation:
- “Research Grupo Andino: what they do, how many offices they have and what they published this month.”
- “Save what matters as a note on their record and add their general manager as a contact.”
- “Set me a reminder to call their general manager on Tuesday.”
When it is done, what it researched did not stay in your chat: it is on Grupo Andino's record, in plain sight for whoever serves them next, with the contact and the reminder ready.
Bring in the documents and the history you already have
Your company's memory does not start today. If your guides live in Markdown files, your AI brings them into Documents. And if your history is in another system, it can bring in proposals, invoices, projects and tickets with their original dates and statuses, without sending anything to your clients.
“Import these tickets keeping who opened them and when.”
How to organize it so your team finds it
Your AI saves where you tell it to. Three simple agreements make everything easy to find later:
- What belongs to the client, on their record. Preferences, context and commercial agreements.
- What belongs to the work, in the project. Minutes, documents, files and technical details.
- What belongs to the company, in Documents. Guides, procedures and templates everyone can use.
And one habit: ask your AI to put the date and the topic in the title of every note or document. Six months from now you will be glad you did.
Everything stays on record
Your AI brings no permissions of its own: it works with your role, and it only saves where your user can save. Every note, document or task it creates lands in Agent activity, with who asked for it and when. If something ended up in the wrong place, you undo it.
