From finished work to a paid invoice
Invoicing shouldn't start with rebuilding what was done. In AgentticCRM the invoice comes from what's already recorded: the proposal the client accepted, the project's hours and the expenses that belong to them. You send it from your organization's address, your client pays it from their portal and each payment brings the balance down.
- The invoice comes from what's already recorded
- A reminder for every overdue invoice
- One payment can settle several invoices
AgentticCRM's Invoices screen with fictitious data: the reporting period, the documents and recurring tabs, five figures (invoiced, collected, drafts, overdue and money due) and the table with number, title, client, status, issue date, due date, owner, total and balance.
How finished work becomes money collected
-
You prepare the draft
From the accepted proposal, from the project's billable hours or from scratch, and the client's expenses wait ready to be added.
-
You issue it
You review the PDF with your tax details and the client's, and when you issue it the invoice gets its number.
-
You send it
By email from your organization's address or with a secure link your client opens without an account.
-
Your client pays
From their portal, with the button that takes them to your organization's payment page with the amount already filled in.
-
You record the payment
You apply it to one or several invoices, and anything left over stays as credit on the client's account.
-
You follow up what's outstanding
You send reminders for overdue invoices and in Reports you see who owes you and since when.
The invoice comes from what's already recorded
If you sold a fixed price, the accepted proposal becomes an invoice with the same lines, prices and taxes. If you bill by the hour, AgentticCRM prepares the draft with the project hours not yet invoiced, at their rate, and hours already invoiced are never charged twice.
Expenses you marked as billable to the client wait on their next invoice, and a notice tells you how many there are and what they add up to. And if you charge a monthly fee, recurring invoices are generated on their date.
What happens after you send the invoice
-
Payment reminders
For one invoice or all overdue ones at once, and you always know when each was last reminded.
-
Payment from the portal
Your client clicks Pay now and continues on your organization's payment page, with the amount already loaded.
-
One payment, several invoices
A transfer is recorded once and split across the invoices it covers.
-
Credit on account
Anything left over stays available in the client's record for their next invoice.
-
Credit notes
If an amount has to be discounted or refunded, the original invoice stays untouched: a credit note is applied and the reason is kept.
-
Who owes you
Receivables aging in Reports splits what's outstanding into five brackets, from current to more than 90 days.
Questions about this process
Can my client pay online?
Yes, by connecting your organization's payment page. In their portal, each invoice shows a button that takes them there with the amount and reference already filled in, and the balance goes down when your team confirms the money arrived.
What if a client underpays?
The invoice becomes partly paid and keeps the remaining balance. It can take as many payments as needed, each with its date and reference.
Can I invoice in another currency?
Yes, each invoice keeps its own currency. Totals on the Main dashboard and in Reports are calculated in your organization's currency.
Do I have to give up my accounting system?
No. AgentticCRM keeps what was invoiced, collected and owed, by client and by invoice, and your accountant gets each table as a CSV for general accounting and bank reconciliation.
Can I bring my old invoices?
Yes. Your connected ChatGPT or Claude loads an old invoice with its original number, dates and payments, without issuing, sending or notifying anything.
