Services and products

Services and products is the catalog of everything your organization sells. Each item keeps its description, unit, price and tax, and you pick it when you prepare a proposal or an invoice, without retyping prices or descriptions.

AgentticCRM's Services screen with fictitious data, inside Settings with its side menu: the plan's capacity beside the category, catalog import and add buttons; and the table grouped by category with name, the product's photo when it has one, item type, price, billing type, how many times it was used, when it was last used and what it has billed, with one deactivated service that keeps its history.

What each service or product holds

Every catalog item has a name, a category and a type: service or product. You set the unit you charge by, such as hour, month, unit or project, its default price and the tax rate that applies to it.

You also mark whether it is billed once, by the hour or on a recurring basis, and add an SKU or code if your team uses them. Prices appear in your organization's currency and number format.

How you use it in a proposal or an invoice

  1. Pick the item on the line

When you add a line, find the service or product in the From price book field. Only active items are listed.

  2. The line fills itself in

The name, the formatted description, the unit, the price and the tax are copied in. All that is left is the quantity.

  3. Adjust what changes on that document

Change the price or the description for that client only. The catalog stays as it is.

  4. Create what is missing without leaving

If a service is not in the catalog yet, create it from the same line and it is saved for next time.

If you change a price in the catalog, the proposals and invoices you already created keep the price they were made with.

Organize the catalog the way your team sells

  • Categories in your order

Group items into categories, rename them and put them in the order your sales team presents them. The catalog is displayed grouped by category.

  • The description, written once

Explain what is included and what is not with styles, lists and images from the Gallery. That formatting carries straight over to the proposal and the invoice.

  • Photos of every product

Upload up to five JPG or PNG photos per item and choose the main one. On each line you decide whether the proposal or invoice prints it.

  • Search by name, SKU or category

Find an item by its name, description, SKU or category, and filter by type, billing type or status. Your filters are still there the next time you come back.

  • How much each item is used

See how many times each item appears on proposals and invoices, when it was last used and how much has been invoiced.

  • Deactivate or archive without losing history

Deactivate what you no longer sell so it stays out of new documents. If you archive it, existing proposals and invoices keep their lines.

Import your price list from a file

With Import catalog you upload the file you already have: Excel, CSV, TSV, text, Markdown, Word or a text-based PDF, up to 50 MB. You don't need a template or a fixed column order.

AgentticCRM proposes each service or product with its category, price, tax and unit, and shows you the row or paragraph it came from. Nothing reaches the catalog until you click Import reviewed changes.

A one-off change needs no file: ask your connected ChatGPT or Claude and it updates a service's price, or adds a new one to a category you already have.

Frequently asked questions

Can I change a price for just one client?

Yes. Change the price on that proposal or invoice line. The catalog keeps the default price for every other document.

Does the catalog price include tax?

No. The price and the tax rate are stored separately, and the proposal or invoice works out the tax and the total for each line.

Who can change catalog prices?

Whoever has that permission in their role. Viewing, creating, editing, archiving, managing categories and importing are separate permissions, so your whole team can use the catalog while only some people change it.

Can the Assistant look things up in the catalog?

Yes. Ask which recurring services you sell, how many times a product has been used or how much has been invoiced by category. If you ask it to create or change an item, it prepares the change and you approve it before it is saved.

Does Services and products track my product inventory?

No. The catalog keeps what you sell, how you describe it and at what price, so you can quote and invoice. Stock, purchasing and warehouses stay in your inventory system.
