This workshop turns scattered complaints into a shared view of triggers, handoffs, client-facing moments and the records that should connect them.

Leave with a current-state map, named owners, visible failure points, the desired client outcome and one scenario that a software provider can demonstrate without improvisation.

Facilitate the session in six passes

Keep the group on one client story. Add exceptions only after the ordinary path and its ownership are clear.

Choose one recent client story

Use a real case with enough detail to name people, artifacts and delays. Avoid an idealized composite that hides disagreement.

Mark the trigger and the finish

State what starts the workflow and what observable outcome means it is complete for the team and the client.

Trace every handoff

For each move, name who sends, who receives, what information travels and how the receiver knows work is ready.

Mark what the client sees and waits for

Add approvals, status changes, requests, documents and payment moments. Record silence and duplicated questions as part of the experience.

Name the record for each decision

Identify where scope, owner, status, approval and evidence should remain after a conversation ends. Flag decisions that currently live only in messages or memory.

Define the demonstration scenario

Turn the map into a sequence of actions and expected records. Include the staff view, client view and one consequential approval.

Prompts for the moments where the map gets vague

Use these questions when participants describe departments or tools instead of the actual movement of work.

  1. Where does someone reconstruct context?

    Look for copied messages, repeated client questions, manual status summaries and files whose latest version is uncertain.

  2. Who is waiting for whom?

    Replace department names with a responsible person or role, the expected response and the signal that allows the next step.

  3. What changes for the client when this works?

    Name the visible outcome: faster approval, fewer repeated questions, predictable delivery, clearer status or a complete billing trail.
