A shared library for the files your team reuses

The approved logo, the right photograph, and the document everyone needs should not be uploaded again from personal devices. Gallery keeps one shared copy, shows where it is used, and helps maintain consistency without filling storage with duplicates.

Availability may depend on each organization’s plan, permissions, quotas, configuration, and external services.

When the same file appears five times

A team may need the same image in a proposal, service, document, and calendar resource. If everyone downloads and uploads their own copy, ambiguous names, old versions, and files nobody can trace soon appear. Gallery removes that repetition with a shared library where approved material can be searched by name and type before it is used.

The difference is visible in a simple task: someone needs the organization's logo for a proposal. Instead of asking in chat or opening personal folders, they search for the asset, review its preview, and relate it from the screen that needs it. The file keeps one common identity, and the team no longer guesses which copy is newest.

Upload with a clear decision about use

The library accepts compatible images and documents, but uploading is not an automatic gesture. Before confirming, the person should recognize the file, choose a name that describes it, and decide whether it should be private or shared. The interface validates format, size, and available capacity; if something fails, the library rejects the upload instead of leaving an incomplete file that confuses everyone later.

Shared visibility does not turn an asset into a public page. It means authorized contexts can use it. For a photograph that will appear in material delivered to clients, that may be right; for a provisional image or a document still under review, keeping it private prevents it from appearing too early.

Reuse without breaking what has already been delivered

Gallery does more than store files. It can also show whether an image is used by documents and let you review references before removing it. That information changes the decision: removing an unused file is housekeeping; removing an image from a current document requires checking what should stay and what can be replaced.

When an asset is removed, content that already uses it may be preserved so a document does not break, and the file may continue consuming space while that relationship exists. This is less immediate than deleting without warning, but it protects work the team has already shared. The library makes that cost visible so cleanup can be deliberate.

Keep a library usable as it grows

Gallery does not try to become an archive with an endless folder hierarchy. Navigation relies on clear names, search, file type, and a deliberate visibility choice. A simple convention by client, project, or material type is usually more useful than names like “new,” “final,” or “image 2,” because people can recognize the asset without opening it.

Regular review matters as well. Duplicates, unused files, and outdated resources consume capacity and make the approved version harder to find. Small cleanups by people who know the material are safer than mass deletion. The library shows capacity and references so the task can be performed with context.

The library has a specific purpose

Gallery is for reusable organizational assets. It is not a personal space, a collaboration room, a temporary delivery, or a place to store passwords. Large files that should be available for a limited time belong in Transfers; text that must remain confidential belongs in Confidential Sends; personal credentials belong in AgentticVault.

Not every format, size, or use is available on every screen either. Current rules depend on validation and organization settings. Understanding that boundary keeps the library from becoming an ownerless drawer of files and helps people choose the right place before uploading information.
