AI in the CRM

30 questions to ask your CRM from ChatGPT or Claude

Six per team, for leadership, sales and accounts, projects, support and operations and administration, ready to paste into your connected ChatGPT or Claude.

Connecting your ChatGPT or Claude to AgentticCRM takes a minute. What takes longer at first is knowing what to ask it. This list solves that: thirty real questions and requests, six for each team in a service business, which your AI answers with your CRM data and with your user's permissions.

Use them as they are, or swap the names for your own clients'. If you have not connected your AI yet, start with how to connect ChatGPT or Claude to your CRM.

Leadership

To see the whole company without asking anyone for a report.

  1. “Build a leadership dashboard with what we won, billed and collected this month, and tell me which decisions are mine this week.”
  2. “Which clients have a project at risk, an urgent open ticket and a balance to collect?”
  3. “How much do we expect to close in the next three months, by owner?”
  4. “Which clients account for most of this year's billing? Tell me what share of the total each one represents.”
  5. “Which open deals have no next step and no close date?”
  6. “Prepare a summary of the quarter for the partners' meeting, in five slides.”

Sales and accounts

To walk into every conversation knowing who you are talking to and what comes next.

  1. “Research Grupo Andino online and save what matters as a note on their record.”
  2. “Create Estudio Lumen with its contact and open a USD 4,800 deal for them.”
  3. “Move Vértice Legal to Negotiation and set sending the proposal on Friday as the next step.”
  4. “Put together the proposal for Vértice Legal with our web design service and a 10% discount.”
  5. “Which proposals did we send more than two weeks ago that still have no answer?”
  6. “With what we know about Nordia, draft an email to pick the conversation back up.”

Projects

To know how every project is going and keep the work in order.

  1. “Which projects are running late, and which tasks are holding them up?”
  2. “Create the Grupo Almendra project with three phases: design, development and launch.”
  3. “Here is the requirements document as a PDF: turn it into tasks inside each phase of the project.”
  4. “Save the summary of the meeting in the project and leave three tasks for tomorrow.”
  5. “Assign the client the task of sending us the copy, so they see it in their portal.”
  6. “Record the project's domain and hosting in its technical details.”

Support and operations

To answer fast and keep anything urgent from waiting.

  1. “Which urgent tickets are still open, and who has them?”
  2. “Which open tickets sit next to an overdue task for the same client?”
  3. “Answer the Nordia ticket with the steps to reset the password, based on our knowledge base.”
  4. “Turn the Grupo Almendra site-down alert into a ticket.”
  5. “According to our knowledge base, how do we bill monthly support?”
  6. “Summarize this week's emails from Marea Estudio and tell me what is still pending.”

Administration

To collect on time and close the month with the numbers reconciled.

  1. “Which invoices are due this week, and for which clients?”
  2. “Turn the accepted Vértice Legal proposal into an invoice.”
  3. “Record today's payment from Marea Estudio on invoice #2036.”
  4. “Reconcile what we billed and collected from Grupo Almendra so far this year.”
  5. “Compare every client's open balances, by currency, in a table.”
  6. “Record this month's hosting expense and mark it as billable to the client.”

How to get more out of every question

Your connected AI still has everything it could already do, so every answer can go one step further:

  • Ask for the format you need. A table to compare, a chart for the meeting, an email ready to review or a few slides for the board.
  • Chain the next step. After “who owes us?”, follow with “create a task to call each of them tomorrow”.
  • Ask it to tell you before it changes anything. “Before you create anything, tell me what you are going to do” lets you review the plan.
  • Remember it works with your role. If a person cannot see invoices, neither can their AI. And every change lands in Agent activity, where you review it and undo it if needed.
