Connect ChatGPT or Claude to your CRM: what to ask it first

Three steps to connect it from My agents and ten requests for your first week, from your daily summary to a first dashboard built on your data.

If you already use ChatGPT or Claude to write, research or think out loud, one thing is missing before it can really work in your company: knowing your business. Connected to AgentticCRM, your assistant looks up your real clients, proposals, projects and invoices, and works on them with your user's permissions. It is still the same ChatGPT or the same Claude you already know. The difference is that now it knows what you are talking about.

What changes when your AI knows your CRM

Until now, getting your AI to help with a client meant exporting a table, copying a history or explaining the context from scratch. Once connected, you simply ask, the way you would ask a colleague who has the CRM open: “Who has owed us for more than a month?”, “How is the Grupo Almendra project going?”, “What meetings do I have on Thursday?”.

And it loses none of what it could already do. Your ChatGPT or Claude still searches the web, reads the files you attach, writes, analyzes numbers and builds documents, tables or charts. Now it can combine all of that with what lives in your CRM, in the same conversation:

  • it researches a prospect online and saves what matters as a note on their record;
  • it takes your overdue invoices and builds a summary for Monday's meeting;
  • it reads the requirements document you attach and turns it into project phases and tasks;
  • it drafts a follow-up email with each client's real balance.

That is what sets a connected AI apart: it knows everything it already knew and, on top of that, it knows your business and can work in it.

What you need before you start

Just two things:

  • Your AgentticCRM user. Your AI will see and do the same things you can see and do. No more, no less.
  • A ChatGPT or Claude account that accepts custom connectors. It is the option that lets you add outside tools to your assistant.

You do not need to code, install anything or ask anyone in IT for help.

The three steps to connect it

  1. In AgentticCRM, open My agents in your profile and copy the Connection URL.
  2. In ChatGPT or Claude, paste it as a custom connector.
  3. Your assistant brings you back to AgentticCRM to confirm. You confirm once and you are done.

From then on you can ask it for whatever you need. In My agents you see when you last used it, and you disconnect it with one click whenever you want.

Your first ten requests

There are no commands to learn: you write to it the way you already do. These ten requests show you, in one week, everything it can do, from the first answer to your first dashboard. Swap the names for your own clients' and use them as they are.

To start the day

  1. “What do I have today?” It pulls your meetings, the tasks that are due and the pending alerts into one answer.
  2. “Which invoices are due this week, and for which clients?” You get the list with amounts and dates, ready to decide whom to call first.

To sell

  1. “Research Grupo Andino online and save what matters as a note on their record.” This is where the two halves meet: your AI searches outside and saves inside, where your team will find it.
  2. “Move Vértice Legal to Negotiation and set sending the proposal on Friday as the next step.” The deal changes stage and the next step becomes a task, with its date.
  3. “Put together the proposal for Vértice Legal with our web design service and a 10% discount.” It stays as a draft, with its lines and the discount, for you to review before you send it.

To get paid

  1. “Who owes us, and since when? Sort it from largest to smallest.” It shows each client's open balances, by currency.
  2. “Draft a collection email for each client with an overdue invoice, with its number and balance.” The emails wait as drafts in your inbox. You review them and you send them.

To decide

  1. “Which clients have a project at risk, an urgent open ticket and a balance to collect?” It crosses billing, projects and support in a single question.
  2. “How much do we expect to close in the next three months?” It adds up what your team has open in the pipeline, month by month, with the probability each owner set.
  3. “Build me a dashboard with what we billed, what we collected and what is outstanding this quarter.” Your AI takes the numbers from your CRM and builds the view you need, even if no screen shows it.

How to review what it did

Your AI brings no permissions of its own: it works with your role. If your user cannot see invoices, neither can your ChatGPT or Claude. If your role changes tomorrow, so does what it can do for you.

Every change it makes lands in Agent activity, with who asked for it and when, and also on the record it touched. If something does not convince you, you undo it: one change, or everything it did in that job. What cannot be deleted, such as a payment, is corrected with an opposite entry. And anything that cannot be undone waits for someone on your team to approve it.

Three tips for your first week

  • Ask it to tell you before it changes anything. “Before you create anything, tell me what you are going to do” works very well in the first few days.
  • Give it names and dates. “The Vértice Legal proposal” beats “the latest proposal”. The clearer the request, the more exact the answer.
  • Check Agent activity at the end of the day. In a minute you see everything that changed and who asked for it.
