CRM for service businesses

Corporate travel: every client request with an owner

How a corporate travel agency organizes what each client company asks for, who handles it and what gets billed.

In a Las Palmas convention center lobby, a corporate travel agent meets two arriving executives with the client's travel coordinator.

A CRM for corporate travel agencies makes sure every request from a client company, whether an executive trip, a date change, a complaint or a group for a convention, has a number, an owner and a status inside that client's account. That way what was asked and what was promised stops being spread across emails and private chats. AgentticCRM manages the relationship with the company and the service around the trips; bookings, fares and ticketing stay in your GDS and your booking tools.

Picture an agency serving a pharmaceutical company with eighty frequent travelers. The company's travel coordinator writes to one agent's personal WhatsApp, the sales director calls another directly, and finance asks for the quarter's invoices by email to a general address. The agent who ran the account goes on vacation for two weeks. An executive has a problem with a hotel, nobody knows whether anyone has replied, and at the quarterly review the company brings up a condition the agency has not written down anywhere. The CRM for corporate travel agencies page describes the whole account cycle; here we stay with the requests.

Who is who inside the client company

In a corporate account many people ask and few decide. The client record holds the company with its tax details and each person as a contact: the coordinator who handles requests, the executive who authorizes, the finance person who receives invoices. It also records who on your team runs the account.

If the company uses the Client portal, each person at the company has their own access, which you remove when they stop dealing with the agency. Whoever signs in sees their own company's items and nothing from your other clients. Before inviting anyone you can open the portal exactly as the client will see it.

Every request as a ticket with an owner

A request that lives in a personal chat disappears when whoever received it goes on vacation. In Support tickets each request becomes a case with a number, a priority and an owner. The coordinator opens it from the portal; if she writes on WhatsApp, calls or emails, your team creates the ticket for her. Email and WhatsApp Business messages land in the shared inbox, where whoever will handle them clicks Assign to me, and from a WhatsApp conversation you can create the ticket or link it to an existing one.

Each priority has a response deadline in days, from 1 day for urgent to 15 for low priority unless you change them, and a ticket that goes past it is marked in red. You can assign several people, and the first one is the main owner. Inside the ticket you keep the reply the client reads apart from the internal notes, where the options considered or what the hotel said are kept. If a request needs a dated step, you turn it into a task with its reminder.

When the account's agent goes on vacation, their tickets change owner in bulk from the table view, and whoever takes them reads the whole conversation without asking for context over chat.

A group trip as a project

A regional convention or an incentive trip has its own calendar while everyday travel continues. It is easier to run it as a project connected to the account, with phases and tasks with owners and dates, so it does not get mixed into each individual request. What you need from the company, such as the attendee list or budget approval, is assigned to a person at the client as a task, and they can upload documents from their portal.

What gets billed to the account

Management fees, service charges or the account's monthly fee are invoiced to the client from the same record. The client's finance team sees in the portal their invoices, what was paid and what is pending, and downloads the PDFs without writing to ask for them. On the record, Profitability shows what was invoiced, collected, pending and spent for that client.

If you charge your corporate accounts a fixed monthly fee, the article on recurring invoices for retainers explains how to schedule it without missing one.

Reviews and renewal

Account reviews leave agreements behind: a policy change, a new city, a complaint that needs closing. They are saved as dated notes on the record, with a reminder for the follow-up. When renewal approaches or the company opens a tender, the deal goes into the sales pipeline as an opportunity with its owner and next action.

Frequently asked questions

Does AgentticCRM replace my GDS or booking tool?

No. It is not reservation inventory, a GDS, a fare engine, a ticketing authority, an itinerary manager or a travel expense system. It handles the relationship with the client company, its requests, its projects and its billing.

Can the client company see its requests?

Yes, if you give it portal access. Each person with access opens tickets, follows their status and replies in the same thread. Your team's internal notes never appear there.

What happens to the requests of an agent who leaves the agency?

The tickets, notes and conversations stay on the client's account after the agent leaves. You assign their tickets to someone else and the history stays complete.
