Client portal

Client portal: what your clients can handle on their own

What a client portal is, which tasks your clients should be able to do there and how to open it without surprises.

Private room in a services office seen through an open glass door, with a blue armchair and a small round side table holding a closed folder, a pen and a key.

A client portal is a private web space where each client signs in with their email and password to see what your business has shared with them: proposals, invoices, projects, appointments and tickets. It is worth having if clients handle there what they now ask you for by email, such as accepting a proposal, checking their balance or sending you a file, without waiting for someone on your team to reply.

Picture a consultancy on a Tuesday at five in the afternoon. One client asks again for the PDF of the September invoice, another wants to know whether the proposal they approved over the phone was recorded, and a third asks which phase their project is in. All three answers are already in the system and nobody on the team should have to look them up, but each one takes ten minutes of someone's time.

What a client portal is and how it differs from a shared folder

Many service businesses start with one cloud folder per client. For handing over files, that works. The trouble is that the folder knows nothing about the work: it has no idea which invoice is still open, which proposal is waiting for an answer or which task depends on the client. Someone has to update it by hand, and the client ends up guessing which version is the right one.

A portal takes its data from the same system your team works in. When you issue an invoice, it shows up in the portal with its balance; when you record a payment, the balance goes down. If you mark a project phase as visible, the client sees the progress in their portal, and nobody had to copy that information from one place to another.

What your client should be able to do on their own

Use this list to check any portal, the one you already have or one from a vendor you are comparing. Each item is a task that probably reaches you by email today:

  • Accept or reject a proposal, seeing the detail, the discount and how long it is valid.
  • Check their invoices, what is paid, what is open and how many days overdue, and download the PDF.
  • Go to pay from the invoice with the amount already filled in.
  • Follow their projects phase by phase and see which tasks are waiting on them.
  • Send you the material you asked for inside the project: copy, logos, documents.
  • Open a ticket, see what state it is in and reply in the same thread.
  • Check upcoming appointments with the time in their own zone and the video call link.
  • Update their own details and change their password.

A portal that only stores documents and leaves everything else to email gets opened once. After that the client goes back to writing to you, because writing feels quicker.

How the client portal works in AgentticCRM

In the AgentticCRM client portal, clients sign in from the browser without installing anything. The first thing they see is "Waiting on you", with proposals they have not answered and anything left to pay. If they are up to date, the portal tells them that too.

Proposals you send from Proposals are accepted or rejected there, and your team sees the answer as soon as it arrives. On each invoice, the Pay now button takes the client to your organization's payment page with the amount filled in, and their statement catches up when your team records the payment. Tickets they open land in the support tickets queue with their priority. Files they upload to a project can be up to 25 MB each.

The client sees your organization's name at the top and your logo on proposals and invoices. Some things never reach their screen: the internal notes on their record, the internal comments on tasks, what the work costs you and the data of your other clients. We explain that boundary in more detail in what clients see in their portal and what they don't.

How to open it without surprises

You do not have to switch it on for everyone on the same day. In AgentticCRM, access goes client by client and person by person, with Invite to portal from the client's record. The password is shown once so you can pass it on, and you can revoke access whenever you want. A client without access keeps getting their proposals and invoices by email.

Before you send the first invitation, use View as client. It opens the portal exactly as that person will see it, read-only, and the visit is noted in their history. That way you can confirm before inviting anyone that the projects and files you marked as shared are the ones you meant.

To start, pick two or three clients who write often to ask for invoices or progress updates. For a month, notice which questions stop arriving, and invite the next clients based on what you see.

Frequently asked questions

Does my client have to install an app?

No. They sign in from the browser with their email and the password you gave them, and can change it themselves under My account.

Can several people from the same client company sign in?

Yes. You can create access for each person at the client who needs it. Each one signs in with their own email, and you can revoke any of those accesses when you need to.

Can they answer me without going into the portal?

For the most urgent things, yes. Appointment invitations and the tasks you assign them can be answered from a private link they get by email.

Can the client pay by card inside the portal?

The Pay now button takes them to your organization's payment page with the amount already filled in. The balance in the portal changes when your team records the payment.
