Implementation and migration
Import clients from Excel without creating duplicates
What to check in the spreadsheet before uploading it, how to read the preview and what happens when you import the same file again.
To import clients from Excel without duplicates, prepare the spreadsheet with a column that identifies each client with a code that does not change, import the companies first and their contacts after, and review the preview before confirming. In AgentticCRM the review marks each row as new or as an update to something that already exists, and nothing is saved until you confirm. If you later upload the same file with that identifier, what is already there gets updated instead of created again.
Think of an HR consultancy that has run on a spreadsheet called "Clients FINAL v3" for five years. It has a sales tab and a billing tab, with different columns. "Constructora Valle Norte" appears as "Valle Norte", as "CONSTRUCTORA VALLE NORTE S.A." and once under its manager's name instead of the company's. There is one row per contact person, so the construction company takes up seven rows. If that sheet is uploaded as it is to any system, the new CRM starts with several records for the same client and the team does not know which one to write in.
Where duplicates in a client spreadsheet come from
They almost always come from four places. The first is the same client written several ways, with and without the legal suffix, in capitals or abbreviated. The second is a sheet of people where the company repeats on every row. The third is two lists merged together, sales and billing, each with its own version of the name. The fourth happens later: someone repeats the import because the first one went wrong and loads everything again on top.
All four are avoided with two decisions: agree beforehand on what identifies a client, and review the import before it writes anything.
Prepare the spreadsheet before uploading it
It does not need to be perfect, though these steps save work during the review:
- Put the information in a single client sheet, one row per company with its main contact. The other contacts go in a second file, one row per person with the name of their company.
- Add a column with a fixed identifier per client. If you came from another system, use the one its export carried; if your team kept the spreadsheet, a code of your own per client does the same job. That is what lets a second import update instead of duplicate.
- Keep the tax ID in its own column. It helps you recognize during the review which rows are the same company.
- Save a copy of the original file before touching it.

What the import does with your rows
In Data import you upload the Excel file and choose which sheet goes in and whether the first row holds the headers. AgentticCRM suggests which field each column maps to and shows you the first rows; you change what does not fit and leave out what you do not need. You do not need an exact template, although you can download a sample file with the columns the system understands.
Then you review row by row. Each one arrives marked as new, as an update to something already in your CRM, or with a note of what it is missing. Rows from the same company are grouped even if the name is written three ways. A row with problems does not hold up the others: you fix it there, leave it out, or fix it in the Excel file and upload it again. Until you confirm the import, your CRM has not changed.
Companies first, people second
Order matters. If you import contacts first, each person looks for a company that does not exist yet. Import the client file, confirm, and then upload the contacts file. In the review of that second file you see which client each person will be linked to before saving.
With the clients in, each record in Clients and contacts is ready to work with: its people, notes, proposals and invoices in one place.
When you import again
A second import is normal: a forgotten tab turns up, or someone corrected phone numbers in the sheet. If the file carries the same identifier as the first import, each record is recognized and updated instead of created again. Before a large import you can save a recovery point and roll back if something does not fit.
Seven days after you finish, the file you uploaded and the contact details it carried are deleted. From then on, the practical step is to add new clients directly in the CRM, searching first by name, email or phone, and to stop adding them to the Excel file.
If your company serves corporate accounts with many people asking for different things, the article on corporate travel and giving every request an owner shows how those contacts are organized once they are in.
Frequently asked questions
What happens if I import the same file twice?
It does not duplicate, as long as the file carries each record's identifier. With it, the second import updates what is already there instead of creating it again.
Does my Excel file have to follow a template?
No. You upload the file as it is and say what each column is. The downloadable template is there for convenience.
Can I import clients from a PDF or a Word document?
Yes. AgentticCRM reads the text, suggests the rows it found and you review them the same way as rows from a spreadsheet.
