Choosing a CRM

The most used CRMs and which fits a service firm

What public figures say about Salesforce and HubSpot, what Zoho, Pipedrive and monday CRM stand out for, and what to check if your work goes on after the sale.

In a consultancy meeting room with a city view, the partner draws the steps of a client journey on a glass board, a consultant follows with a laptop in hand and a colleague sticks on a note.

If you are looking for the most used CRMs, public data points first to Salesforce and HubSpot. According to IDC, Salesforce held 20.0% of the worldwide CRM market in 2025, and HubSpot reported 306,446 customers as of June 30, 2026. For a service business those figures say little about which one fits: what decides it is how the work continues after the client accepts the proposal.

The shortlist almost always comes together the same way. The partner at a fifteen-person consultancy searches for "best CRM", writes down the names that keep coming up and books demos. Three weeks later the team has seen very complete sales pipelines, and nobody has asked where each client's project, hours and invoice will live.

What the data says about the most used CRMs

There are few comparable public figures, and the two most quoted ones measure different things.

The market share IDC calculates is based on CRM software revenue. In its ranking published in 2026, with 2025 data, Salesforce comes first with 20.0%, for the thirteenth year in a row, according to Salesforce's note on the IDC ranking.

HubSpot, on the other hand, publishes its customer count in every quarterly report. In its second quarter 2026 results it reported 306,446 customers as of June 30, up 14% from a year earlier.

Revenue and customer counts cannot be compared with each other. A large company with thousands of users weighs a lot in revenue, while many small companies weigh in customer count. So "the most used" depends on how you measure it, and neither figure tells you whether the system works the way you work.

Five names that often make the shortlist

Each one has a detailed comparison with AgentticCRM in compare CRMs. In short:

  • Salesforce adapts to complex sales operations and has a wide ecosystem. Sales Cloud is built for selling; running projects on top of it is possible, but it has to be designed, configured and maintained. See Salesforce next to AgentticCRM.
  • HubSpot is a mature platform with many tools for winning clients. It brings specialized products together, so check which modules, editions and integrations will carry the work once the deal is won. See HubSpot next to AgentticCRM.
  • Zoho CRM covers sales, marketing, service, automation, reporting and portals, with plenty of room to configure. See Zoho CRM next to AgentticCRM.
  • Pipedrive centers on the pipeline and on automating sales follow-up. See Pipedrive next to AgentticCRM.
  • monday CRM presents itself as an AI platform for marketing, sales and post-sale work, built from boards, fields and automations you configure yourself. See monday CRM next to AgentticCRM.

What to look at if your business sells services

In an agency, a consultancy or a firm, closing the sale is half the journey. After the accepted proposal come the project, the hours, the client's requests and the invoices, sometimes for months. A CRM designed mainly around the pipeline leaves that part for you to solve with other tools or with your own configuration.

Before the first demo, pick a real client from the last three months and ask to see that client's whole journey in the system:

  1. The inquiry comes in and the opportunity is recorded.
  2. The proposal goes out with your services and prices.
  3. The client accepts it and the project starts from what was approved.
  4. The team logs the hours and the requests for that client.
  5. The invoice is issued without retyping the data, and its balance is tracked.

Whenever a step gets the answer "that's done with an integration" or "we'll configure that for you", write it down. That is time and money that goes into the implementation side of the bill, and the monthly fee does not show it.

Ask what your client sees, too. Some teams need clients to check their proposals, invoices and progress without sending an email, and others don't need that yet.

Where AgentticCRM fits

AgentticCRM is not among the most used. It is a CRM for B2B service businesses, made in Panama by Global Agenttic, and it comes with the journey from first inquiry to project and payment ready to use. Proposals are built from the services in your catalog and turn into an invoice when the client accepts them, and in invoices you follow each balance to the last payment. Each client can have a portal to see their proposals, invoices, projects and tickets, and you decide who gets access.

What it does not do matters when choosing, too: it is not an accounting or payroll system, and it is designed for a computer's web browser. If your priority is large-scale marketing campaigns or a huge catalog of integrations, one of the five above may suit you better. Plans are on pricing.

Frequently asked questions

What is the most used CRM in the world?

Measured by revenue, Salesforce: IDC gives it 20.0% of the worldwide CRM market in 2025. There is no figure that compares every vendor by customer count; HubSpot, for example, reports more than 306,000 customers.

Is the most used CRM the best one for a small service business?

Not necessarily. Many companies using it shows the product is proven. Whether it fits the way you work becomes clear when you walk a real client through it from start to finish, including what happens after the sale.

How many CRMs should I try before deciding?

Two or three are usually enough, as long as you bring the same case to every demo. With more options the demos start to look alike and the decision drags on.
