Private school admissions: no family left waiting

How to follow every admissions enquiry, from the first question to enrollment, without relying on a notebook or the front office's memory.

At a private school in La Chorrera, the admissions coordinator walks a visiting couple along the covered walkway during an enrollment visit.

To make sure no family goes unanswered in admissions, every enquiry has to land in the same place with an owner and a dated next step, whether it comes through the website form, WhatsApp or a booked visit. A CRM for private schools handles that follow-up; grades, attendance and academic records stay in the school's own system.

Picture a private school in the middle of enrollment season. The front office gets messages on the school's WhatsApp, emails from families asking about places, phone calls and website forms. The admissions coordinator writes visits down in a notebook. One family asked to tour the campus on a Tuesday, nobody called to confirm, and in April they turn up enrolled at another school. Nobody did anything wrong on purpose: the enquiry had no owner.

Why families get lost during admissions season

Enquiries arrive through several channels at once, and each channel has its own gatekeeper. One person handles WhatsApp, another handles email, and the website form lands in a mailbox checked when there is time. When a family writes through two channels, nobody knows it is the same family.

The second problem is that the next step never gets written down. "Call the Rodríguez family after the visit" lives in someone's head. If that person is out sick for a week, the family waits.

The third shows up at the end of the cycle. Without a record, nobody can say why families who visited did not enroll, whether it was the price, the bus schedule or that nobody wrote back.

One way in for every enquiry

In AgentticCRM, every enquiry becomes an opportunity in the Sales pipeline, even before the family has a record. The opportunity keeps the name, email and phone of whoever asked while the conversation moves forward.

Enquiries can come in several ways, and all of them land in the same Intake stage:

  • A form published on the website, with the fields admissions needs, such as the grade of interest in a dropdown. Each submission creates the opportunity with the answers inside, and whoever receives it gets a notice and a first task to reply the next day.
  • A WhatsApp Business message or an email arriving in the shared inbox. From the conversation you create the opportunity without copying data by hand, and a person on the team replies.
  • A visit booked on the coordinator's booking page. The family picks a free slot without creating an account, and the opportunity comes in with the meeting already on the calendar.

If the admissions team takes enquiries in turns, cards can be shared out in rotation among several people.

Stages that follow your admissions process

The pipeline starts with seven stages and you rename them to say what happens at your school: Enquiry, Visit booked, Interview, Application submitted, Enrolled and Did not continue, for example. Moving a card from one column to the next records the change with its date.

Each family's next step is a task with a date and an owner. The board counts how many opportunities have no next step and how many have one overdue, so the Tuesday visit family shows up as pending before it is too late.

When a family decides not to continue, closing the opportunity as lost asks for the reason: price, timing, competition, no response or no budget, plus a note. At the end of the cycle, those reasons show where families went, and the stage history shows how long each one took from visit to enrollment.

When the family enrolls

The client is created from the opportunity, and the two stay linked. If the payer is a person rather than a company, the school records them as an individual client.

From there, tuition can be scheduled as a recurring invoice every month, on the day you choose from the 1st to the 28th, with reminders before and after the due date. AgentticCRM does not take card payments on the school's behalf: the payment is recorded when it arrives and the family's balance updates. In the portal, each family sees its invoices, its balance and the recorded payments.

It is worth making the boundary clear inside the school: AgentticCRM is not a student information system. Grades, attendance, assessments and academic records stay where they are. The page for private schools details what the platform covers and what stays in the school's tools, and this article explains what else a CRM does beyond sales.

Schools are not the only business with moments when many people ask for something at once. A public relations agency lives something similar when a client needs an urgent answer; we look at that in one record per client in public relations.

Frequently asked questions

Do families need an account to ask for information or a visit?

No. The public form is filled in without an account, and the booking page lets them choose a slot and reschedule or cancel it from a private link.

What if the same family writes twice?

When an enquiry comes in, its email is matched against your existing clients. If it matches one, the opportunity is linked to it; if it matches several, you are shown the candidates to choose from.

Can the CRM answer families on WhatsApp by itself after hours?

No. WhatsApp Business messages arrive in the shared inbox and a person on the admissions team replies.
